Microsoft Excel SmartClient for NetSuite

Access NetSuite from Excel: Retrieve, update, add, and delete data with a click

We needed the ability to download a quote from NetSuite into Excel, perform what-if type financial analysis using a pre-built model, and then update this quote back in NetSuite using the modeled data. Using the Celigo SmartClient, our reps are now able to accomplish this directly from within NetSuite with a click of a button to download and upload data. As a result, we were able to use our existing Excel models and integrate it with NetSuite's quotes without having to implement another custom solution. The tool is customizable enough so that it will continue to be useful as the company's needs change and grow, but simple enough so that training and downtime are minimal.

Most NetSuite customers use Microsoft Excel on a daily basis to accomplish a variety of tasks, which are crucial for running a business. The Celigo Excel SmartClient for NetSuite provides a seamless integration between Excel and NetSuite, allowing users to access and manipulate their NetSuite data directly from within Excel.

Do you want to pull customer data from NetSuite into a spreadsheet with the click of a button? Have you ever updated item pricing in a spreadsheet and wished NetSuite would automatically update as well? Could you use a tool that allows you to implement an interface for fast offline entry of sales orders into NetSuite?

These are just some of the challenges the Celigo SmartClient overcomes by enabling you to copy your NetSuite data into a spreadsheet, manipulate it using all the power of Microsoft Excel and pushing changes (including Deletes) back into NetSuite. The SmartClient can also be used to implement complex workflows, since you can use Excel to implement the business logic, and the SmartClient for data connectivity with NetSuite.

Some of the realized benefits include:

  • Increased user productivity of NetSuite
  • Access to powerful features unavailable even in NetSuite
  • Higher user satisfaction
  • Ability to maintain existing tools & processes implemented in Excel

The SmartClient is powered by the Celigo Office SmartConnector—providing seamless integration with NetSuite.

Business Benefits

The SmartClient combines Excel's power and ease of use with one-click access for querying, adding, updating, and deleting NetSuite data from within Excel; and it includes an intuitive user interface designed for business users.

  • Retrieving Data: Insert NetSuite data into any location within a worksheet using a simple interface. You can create a saved search with a specific result template, and click a button to insert the retrieved data.

  • Mass Updates: Retrieve a specific set of records based on the desired criteria, make mass changes to these records utilizing the speed and convenience of Excel, and update these records in NetSuite with a click of a button. This even applies to transaction record types such as sales orders. Comprehensive built-in error reporting is fully included.

  • Recurring Imports: Import data to NetSuite on a recurring basis. This feature is perfect for tracking leads from a trade show, or updating an item price change from a manufacturer. Create a result template with the desired fields using the Result Template Designer, and then reuse this template whenever you need to perform a new import. After entering the data, use the one-click update to import it to NetSuite.

  • Beyond CSV Import: The SmartClient provides access to a broader range of records, including custom records and fields, than is currently supported by NetSuite CSV Imports.

  • Data Entry: Import a large set of data, such as an initial data migration, to NetSuite. The SmartClient differentiates itself from other tools by providing built-in validation for catching errors before uploading to NetSuite, flexibility for drag-and-drop design of your templates, and access to a large number of record types, including transactions.

  • Deletes: Precisely remove multiple records including transaction record types from NetSuite. Rather than deleting them one by one or having to purge all records, target a batch using saved search criteria, using Microsoft Excel or manually by hand and delete them with the click of a button.

  • Offline Access: The SmartClient is an offline tool by default since it is a spreadsheet. Using a saved result template, you can populate and maintain your data offline from a standard Excel worksheet. The data can be uploaded to NetSuite whenever you're ready. For example, resources out in the field who track time can use the SmartClient as a standard spreadsheet, which can be uploaded to NetSuite with the click of a button once they are back in the office.

Reusable Result Templates Design your own reusable templates for supported record types using the drag-and-drop Result Template Designer. You can specify which fields are displayed in the spreadsheet including all standard and custom fields for the selected record type. A result template can be used to retrieve data from NetSuite, or to add and update data into NetSuite.
Hierarchical Data Record types that have parent-child relationships, such as a sales order headers and subsequent line items, are fully supported with the ability to choose between different templates for display.
Select Lists Select list fields in NetSuite are available as drop-down fields in Excel. Additionally, such fields can be configured as real-time lookup fields when populating data. For example, when populating a customer record, the Partner field can be configured as a lookup field, so that the user can enter the first few letters and press the tab key to retrieve a set of matching values.
Stringent Security Controls The login to NetSuite from within the spreadsheet uses role-based access, and users are limited to the same access rights they have in the NetSuite UI. Communication with NetSuite uses the industry standard 128-bit SSL encryption.
Portability SmartClient-enabled spreadsheets are portable, and can be shared with other users who have the SmartClient installed.

Supported Records

We recently moved to NetSuite and had been struggling with data entry problems," said Gene Eckles, Vice President Resort Sales at Fortune Fashions Industry. "Given the nature of our business, we needed to create an offline front end interface for our field reps to take orders. After assessing our needs, the Celigo team customized the SmartClient to define a worksheet that matched our existing order entry worksheet. Our reps come back into the office at the end of the day and are able to submit new orders to NetSuite directly from their spreadsheet with a click of a button. We have been using this solution for several months and it has been working flawlessly, saving us countless hours and dollars.
