Swapcard quickly and seamlessly automates its global quote-to-cash processes with Celigo
“We saw results right away. It’s fantastic. The effects were immediate in terms of cash collection, data, and understanding of where we are. We press a button and after five seconds, we see everything. Now we have systems that speak to each other. The data is cleaner and the information is more accurate. We can focus on other things. We spend less time making sure it’s correct, and spend more time analyzing and making decisions. It’s magic.”

About
Swapcard is an AI-powered all-in-one event and matchmaking platform that runs impactful in-person, virtual, and hybrid events, simplifying event production to drive more value. Founded in 2013, today the company has over 200 employees worldwide.
The challenge
Swapcard has been growing in the double-digits every year for the last several years. In that growth, however, the company adopted dozens of applications across multiple accounting teams in various countries, including Quickbooks and Zoho Book/CRM. This resulted in a lack of visibility into its cash position, dealing with manual errors, and accountants spending 95% of their time on tasks that were unrelated to analysis and reporting.
In addition, the company had adopted Salesforce, which required a level of customization that complicated the company’s ability to deliver complete, accurate data across all systems.
“It was pretty difficult and uneasy to connect all data to each other,” said Nicolas Guillaud, Swapcard’s Chief Financial Officer. “We needed to be able to monitor clean data, so we decided to reset everything from scratch.”
The team embarked on a project to consolidate accounting solutions where they could, and integrate the remaining systems where needed.
The solution
To address this challenge, Swapcard brought in Iniwave, a French systems integrator that specializes in NetSuite ERP services. Iniwave’s first task was to consolidate the global accounting systems into NetSuite ERP, including the biilling module.
Swapcard decided they would continue with Salesforce at the company’s CRM, but that it was important to automate the quote-to-cash process between their ERP and CRM. “I wanted to save the sales team’s time,” said Guillaud. “And to make sure that everything was automatically into NetSuite.”
To do so, Iniwave brought in Celigo as the integration platform to automate processes across their enterprise. The first step was to integrate Salesforce CRM and billing modules with NetSuite’s ERP and SuiteBilling modules.
“I came from a company that used Boomi,” said Joffrey Guillonchon, Partner at Iniwave. “But Celigo is much more fitting for our customers. The software works very well for their needs, and for me, it’s easy to implement.”
Within a short amount of time, Swapcard consolidated multiple accounting tools in different countries and integrated them with the key applications. “Everything is in a single place talking to each other, said Guillaud.
Bottom line
With the key quote-to-cash process automated, Swapcard immediately saw a positive impact.
“It’s fantastic. The effects were immediate in terms of cash collection, data, and understanding of where we are. We press a button and after five seconds, we see everything,” said Guillaud.
“Now we have systems that speak to each other. The data is cleaner and the information is more accurate. We can focus on other things. We spend less time making sure it’s correct, and spend more time analyzing and making decisions. It’s magic.”
In addition, Guillaud said it put them in a position to consolidate all the international accounting teams, get rid of redundant accounting systems, and save on accounting headcount who were previously focused on doing manual tasks.”
For Iniwave, the ability to quickly implement integrations and hand them off to Swapcard to manage has allowed them to move much more quickly with the fast-growing company.
“One of the best things about Celigo is that you can implement it quickly. This allows me to provide more value because things evolve quickly, and if we want to implement a new process and only have a month to do it, it’s quite easy with Celigo,” said Guillonchon.
For the future, the company is considering integrations with payment processors and HRIS applications.
“It was seamless with Celigo,” said Guillaud. “All the hard work is paying off now and this is really a big relief.”
